General Questions About Savoy Opera House

What types of events do you host?

Savoy Opera House hosts a wide range of events, including corporate gatherings, weddings, nonprofit fundraisers, galas, birthdays, anniversaries, bar and bat mitzvahs, celebrations of life, and other private celebrations. We also host select public events, such as book signings, performances, and curated community experiences.

Because the space is flexible and highly customizable, we can accommodate everything from an intimate gathering to a large, energetic celebration.

What is the venue capacity?

Savoy Opera House can accommodate events ranging from approximately 50 to 350 guests for dinner and dancing. For cocktail-style receptions, networking events, or dancing-only celebrations, the venue can host up to 500 guests.

The ideal capacity depends on your layout, seating needs, entertainment, stage setup, and the activities you have planned. Our team can help you determine the best arrangement for your guest count and event style.

What dates are available?

Availability changes frequently, so the best way to check your preferred date is to call us or complete our inquiry form.

Our most in-demand dates are typically Saturdays in March, April, October, and December. If you are planning an event during one of these popular months, we recommend reaching out as early as possible.

What are the rental rates, and what is included?

Rental rates vary based on your guest count, bar service, event duration, layout, and any special requests. Site fees start at $1,400 and include five hours of event time, tables, chairs, tableware, table linens, and standard setup and breakdown services.

Because every event is different, please contact us for a customized quote based on your plans.

How many hours are included in the rental?

Our site fee includes five hours of event time. Additional hours may be reserved based on your needs and venue availability.

Can I rent only the space?

In most cases, Savoy does not offer space-only rentals. Our goal is to provide a cohesive, well-executed experience that includes coordination of the venue, setup, catering, bar service, and other essential event details.

Depending on the event, date, and specific needs, there may be some flexibility. Reach out to discuss what you have in mind, and we will let you know what options are available.

Can we schedule a tour?

Absolutely. The best way to understand the space and begin imagining your event is to experience it in person.

During your tour, we can show you the indoor and outdoor spaces, discuss layout options, review capacity and logistics, and help you see how the different elements of your event can come together.

Do you provide event-planning assistance?

We provide coordination for all venue-related needs to help your event run smoothly. Our team assists with the layout, guest flow, setup, venue timing, catering, bar service, and other details connected to the space.

While we are not a full-service event-planning company, we bring decades of event experience and can help guide you through many of the decisions that affect the venue. Our goal is to manage the details within our care so you can focus on your guests and enjoy the experience.

Catering and Bar Service Questions

Do you provide in-house catering, or can we bring an outside caterer?

Food and bar services are provided exclusively by Savoy Opera House. Our team will work with you to select a menu and service style that fits your event, guest count, and overall experience. You are welcome to bring in a wedding cake, specialty desserts, or unique food-related experiences such as a popcorn machine, ice cream cart, snow-cone station, or other creative additions. We will work with you to ensure those elements fit smoothly into your event.

Do you offer bar service or allow BYOB?

Savoy offers full-service bar options with professional bartenders. Outside alcohol and BYOB are not permitted. However, we may be able to accommodate a favorite spirit, signature cocktail, or specific beverage request through our bar service. Let us know what you have in mind, and we will explore the available options.

When do you need the final dinner headcount?

We understand that guest lists may change during the planning process. We will begin with an estimated guest count to help guide your layout, catering, and budget. Your final headcount is typically due two weeks before the event, giving you time to confirm RSVPs and make final adjustments.

Can you accommodate dietary restrictions?

Please share any dietary restrictions, allergies, or special meal requirements with our team during the planning process. We will review your needs with the catering team and discuss the available options.

Venue and Event Space Questions

What areas of the venue are available?
Savoy Opera House offers both indoor and outdoor event spaces. The outdoor gazebo may be used for wedding ceremonies, cocktail hours, guest arrival, or other event activities. The indoor Opera House is ideal for receptions, dinners, programs, dancing, auctions, performances, and private celebrations. Depending on availability and your event plans, additional outdoor areas of Trail Dust Town may also be rented to create a private Western-style carnival or expanded guest experience. Please note that dedicated dressing rooms and getting-ready suites are not available onsite.
Is there a dance floor or stage?

Yes. Savoy Opera House features a 1,500-square-foot permanent dance floor, one of the largest in Tucson, along with a full-size stage that can accommodate live bands, DJs, speakers, presentations, auctioneers, and entertainment.

The room can be arranged with tables, chairs, dividers, and open gathering areas to create the right balance for your event.

Are tables, chairs, linens, or décor included?

Tables, chairs, tableware, and standard table linens are included with the site rental.

You are welcome to personalize the space with florals, signage, centerpieces, specialty linens, lighting, and other décor that reflects your event theme or style. Our team can explain what is included and help coordinate the setup of items you or your vendors provide.

Do you provide setup and breakdown services?

Yes. Our team handles standard venue setup and breakdown so you do not have to manage the room transformation yourself.

We prepare the tables, chairs, linens, and tableware before your event and take care of the venue breakdown afterward. You and your vendors are responsible for removing personal décor, equipment, and other items brought into the space.

Is there enough parking?

Yes. Savoy offers ample private parking for guests, vendors, and event staff. The parking area can also accommodate large buses, shuttles, and group transportation.

Vendor, Music, Audiovisual Equipment, and Entertainment Questions

Can I bring my own vendors?

Yes. We encourage you to personalize your event and welcome outside vendors for services such as photography, videography, florals, décor, DJs, live entertainment, photo booths, and specialty experiences.

Food and alcohol are the primary exceptions, as catering and bar service are provided exclusively through Savoy.

All vendors must follow the venue’s setup, safety, and access guidelines.

Do you have a preferred vendor list?

Yes. We can provide a list of trusted vendors who are familiar with Savoy Opera House and have delivered great experiences for past events.

You are not required to use vendors from the list and are welcome to bring in your own photographers, florists, entertainers, decorators, and other professionals.

Is sound or audiovisual equipment available?

Yes. The venue includes speakers, several wireless microphones, a 70-inch television, and a large projector screen.

These features work well for presentations, videos, slideshows, speeches, sponsor recognition, and event programming. You are also welcome to bring in additional audiovisual equipment if your event requires a more customized setup.

Are DJs and live bands allowed?

Yes. Both DJs and live bands are welcome at Savoy Opera House.

Our full-size stage can accommodate a DJ setup, live musicians, performers, or other entertainment, making it easy to create the atmosphere and energy you want for your event.

Venue and Event Space Questions

Can we bring our own lighting or special effects?
Yes. Custom lighting and many special effects are permitted, and we are happy to coordinate with your vendors to help bring your vision to life. Fog machines are permitted with prior approval. Cold sparklers, confetti, and glitter are not allowed. Please discuss any special effects with our team in advance so we can confirm safety requirements and venue guidelines.
Are there noise restrictions or required end times?

Event timing and entertainment plans should be discussed with our team during booking. Later celebrations may be accommodated when the necessary hours are reserved in advance.

We will help you plan an event timeline that provides plenty of time for your celebration while meeting all venue and local requirements.

What are the allowed event hours?

Events begin with a five-hour minimum, and additional time can be added based on your plans and venue availability.

Many events run for up to eight hours. If you are planning a longer program, an extended reception, or a later celebration, those hours should be reserved in advance

When can vendors arrive for setup?

Vendor access is coordinated around your event timeline. In most cases, access to the venue begins at 10:00 a.m. on the day of the event for decorating and vendor setup.

Tables, chairs, and linens are typically set by that time. Tableware is generally added approximately three hours before the event begins.

If your event has unique setup needs, complex décor, or a different schedule, our team will work with you to create an appropriate access plan.

How much time do we have after the event?

You will have one hour after the event ends to remove personal items, decorations, vendor equipment, and anything else brought into the venue.

Our team will handle the breakdown and cleanup of the venue itself.

Are there any venue restrictions?

A few guidelines are in place to protect the venue and keep guests, vendors, and staff safe:

Confetti, glitter, and cold sparklers are not permitted. Guests and vendors may not stand on chairs, tables, or other furniture. Appropriate ladders must be used when decorating or removing items at height. All guests and vendors are expected to treat the space and surrounding property with care.

Our team will provide the complete venue guidelines before your event so you and your vendors know exactly what to expect.

What happens if our guest count changes?

We understand that guest counts often change during the planning process. We will begin with an estimate and adjust the layout, catering plans, and other details as your event approaches.

Final guest numbers are generally required two weeks before the event.

Who will be available on the day of the event?

A member of the Savoy team will be available to oversee venue-related details and help ensure the space, catering, bar service, and timeline elements under our care run smoothly.

Booking Your Event

How far in advance should we book?

We recommend reaching out as early as possible, especially if you are considering a Saturday during March, April, October, or December.

However, availability can change, and we may be able to accommodate events with shorter planning timelines. Contact us to check your preferred date.

How do we reserve a date?

The first step is to contact our team to confirm availability, discuss your event details, and receive a customized quote.

Once you are ready to move forward, we will explain the agreement, deposit, payment schedule, and next steps required to secure your date.

What information should we have ready when we inquire?

It is helpful to provide your preferred date, event type, estimated guest count, desired event hours, catering and bar needs, and any special activities or setup requests. You do not need to have every detail finalized. Our team can help you explore the possibilities and determine what will work best for your event.
